Compare side by side, then shortlist

Compare several rooms or offers together: price, amenities, cancellation terms and meal plan all lined up. Save options in as many named lists as you like, then turn a shortlist directly into a proposal.

  • 1
    FareDesk Insights

Best value, price gaps by star rating, free-cancellation coverage. Based on real results.

  • 2
    Similar hotels

Other hotels in the same destination appear automatically, so agents have alternatives without a new search.

  • 3
    Multi-list shortlists

One list per client or per idea, each one a proposal in a click.

FareDesk Insights come from the results on screen, not from a script. Illustrative.

Proposals that re-price themselves

Build a proposal from search results or a shortlist, with several room and offer options in one document. Change group size or dates and the whole quote updates before it is saved, so there are no old numbers and nothing to re-quote later.

  • 1
    Fully itemised pricing

Base rate, taxes, mandatory and optional charges, meal-plan supplements and discounts, each shown separately.

  • 2
    Real offer and discount application

Apply a promotional offer and see the original rate, the discount and the final price laid out.

Proposals that report back

Create a professional PDF proposal with your agency's logo, contact details and terms. One click creates a customer link that shows when the proposal was sent, viewed and which option they picked.

Mark the option the customer chose and move straight into a booking request, with no double entry. When the request arrives as a free-text email instead, AutoQuote can build the first proposal for you.

One branded PDF, one link. The guest's choice becomes a booking request without re-typing anything.

One inventory. One pricing engine. No oversells.

Rooms, rates, offers and policies from every approved contract flow into one bookable catalogue. A confirmed booking takes rooms out; a cancellation puts them back; a hard block stops overselling. Search, proposals and bookings all price from the same engine, so the number the customer sees is the number they pay.

Availability that moves with every booking

Azure Cove Resort · Ocean Room · 12–25 Aug · allotment 6 from the contract

  • Rooms held by confirmed bookings
  • Hard block, cannot be booked

Illustrative. 14–18 Aug is full, so no search, proposal or partner can book it.

A hard block, not a warning

New request · Ocean Room · 16 AugBlocked · 0 of 6
Cancellation · Ocean Room · 19–21 Aug+1 room

When a booking is confirmed, room counts go down; when it is cancelled, they go back up.

Stay rules enforced

Minimum stays, blackout dates and cancellation windows from the contract apply automatically.

Peak · minimum stay 5 nights

Automatic confirmations

A confirmed booking triggers a confirmation email and a branded confirmation PDF automatically.

Close dates the moment a hotel tells you

When a hotel emails to say rooms are unavailable, you scan the email from the browser extension in Gmail or Outlook. The notice is read, a person confirms it, and those dates are closed in your inventory and for partners on the Partner API.

  • 1
    Read the notice

Hotel, room type, dates and reason are taken from the email.

  • 2
    Confirm, then close the dates

Nothing is enforced until someone confirms it. Then those nights become unavailable in inventory.

  • 3
    Nobody can sell them

Blocked rooms leave search and cannot be proposed, booked or sold through the Partner API for that window.

Pushing stop-sale updates on to a supplier system such as Sejour is scoped on request; see integrations.

Frozen-at-send pricing and live FX

Once a proposal is sent, its numbers are locked: later FX changes cannot silently change what the customer sees. Prices show in your agency's base currency, with the contract's original currency underneath.

  • 1
    Live exchange rates

Multiple FX providers or manual rates, refreshed automatically on your schedule.

  • 2
    Markup and commission rules

Per agent, per hotel or agency-wide, with an approval workflow for exceptions.

Providers, refresh schedule and approvals are set once in your currency and pricing rules.

A real customer book

  • 1
    Passport-expiry warning

A clear warning when a stored passport is close to expiry, before it becomes a problem at the border.

  • 2
    One timeline

Every proposal, booking and message for a customer in date order, with insight from what they actually booked.

  • 3
    Duplicate detection

A likely duplicate prompts “is this the same person?” You view, continue or cancel.

Questions about tour operator quoting and booking

How are children and infants priced?

Adults, children with their real ages, infants and extra-adult supplements are priced against the contract's own occupancy rules. The same rules apply in search, in the proposal and in the booking, because all three use one pricing engine.

Can a sent proposal change if the exchange rate moves?

No. Once a proposal is sent, its numbers are locked, so later FX changes cannot silently change what the customer sees. Rates come from multiple FX providers or your own manual rates, refreshed on your schedule; see the currency rules.

What stops a room being sold twice?

When a booking is confirmed, room counts go down; when it is cancelled, they go back up. A hard block stops a booking once the allotment is used, and search, proposals and the Partner API all read the same inventory.

Can we override a rate for a negotiated deal?

Yes. For a special negotiated rate or a lump-sum invoice you can override once and still get a full itemised breakdown.
