AutoQuote: free-text email in, branded proposal out.
Automated travel quotes, started from the inbox you already work in. A trade partner’s free-text request arrives in Gmail or Outlook; from the browser extension you send it to AutoQuote, which parses it, scores it and checks it against your rules, luxury tier, group size and the like, then prices it from your approved contracts and prepares the branded quote, or escalates it to a person. The PDF goes back by email with your configured CCs, and every quote is recorded in the platform.

It starts in the inbox you already use
A trade partner’s free-text request arrives in your inbox the way it always has. The browser extension sits inside Gmail, and as an add-in inside Outlook: from the email itself you send the request to AutoQuote, which parses it, checks your rules, prices it from approved contracts and prepares the branded quote. Nobody forwards it and nobody retypes it.
- 1Requests go to AutoQuote
Tick the quote request, or several, and send them across from where they already are.
- 2Contracts and stop sales take the same route
A contract email goes to contract intake, where AI reading starts on its own. A stop-sale notice is read and held: nothing is enforced until someone confirms it.
- 3Or connect your centralized inbox to watch
Point it at a shared address like reservations@ and it picks up the emails that matter, without anyone ticking them. Connecting a mailbox gives secure, read-only access. Mailbox modes decide who may connect, and the email activity view shows why each email was or was not flagged.
Below, stop-sale notices picked up by the Gmail extension wait for a person to confirm them. Once confirmed, the blocked rooms leave search and cannot be proposed or booked.
(opens the full-size screenshot in a new tab)The request, read the way it was written
A partner writes the request the way they always do. Once you send it across from the extension, the free-text email is read and turned into a structured quote request automatically: the party with real ages, the dates, the destination and the meal plan.
- 1Party and ages
Adults, children with their ages and infants, so the quote prices the party that is actually travelling.
- 2Dates and destination
Arrival, departure and the place, read from however the partner wrote them.
- 3Meal plan and preferences
Half board, full board or a request like sea view, kept with the request your team sees.
You decide what may go out on its own
Each request is scored for confidence and checked against your rules, luxury tier, group size and the like. You decide what can be auto-quoted. Everything else lands with an agent, with the parsed request attached.
It is not a free-running autopilot. A group of 14 or an overwater honeymoon goes to a person because your rules say so, and that person starts from a structured request instead of the raw email. The same idea runs through confidence scoring on contracts: only the uncertain cases need a person.
Priced from the contracts you approved
Every quote is priced from your approved hotel contracts, with seasonal pricing, the contract's own rules and live availability.
Rooms and meal plans
Room, meal plan and season from the approved contract.
Children and occupancy
Ages priced by the contract's own child bands and occupancy rules.
Offers and stay rules
Offers applied where they qualify; minimum stays and blackouts enforced.
Seasons and availability
Seasonal pricing and availability flags travel with every rate.
Rates shown are illustrative.
The reply goes back as your branded PDF
A branded PDF quote is generated and emailed automatically to the trade partner, with your configured CCs. It carries your logo, contact details and terms, never ours.
Pricing is frozen at send, so the number they see is the number they pay. Later exchange-rate moves cannot change it; see currency and pricing rules on the platform page.
Every quote is on record in the platform
Every auto-sent quote and every escalation is recorded in the platform: in your proposals pipeline, on the customer record and in the audit log, so the answer to “did we quote them?” is in the record, not someone’s sent folder.
If your team also works in a CRM, a sync to it is scoped on request, starting with a discovery week; see the Pipedrive connection.
ROI you can see
Quotes processed, auto versus escalated, average response time, hours saved. The dashboard includes an ROI calculator against your current quoting cost. Numbers come from your own quote log.
ROI calculator
Set it against what quoting costs you today, and it works out the return from your own numbers.
Inputs are illustrative. The calculator uses your own figures.
Scoped with you, billed separately
AutoQuote is an extension on top of the core platform. Its rules, the mailboxes the extension works in and your CC lists are set up with you, and it is billed separately from your licence. A CRM sync is scoped on request.
Gmail extension and Outlook add-in
Sends a partner’s request to AutoQuote from the email it arrived in, so nobody forwards or retypes it.

Where AutoQuote connects
The quote is only as good as the rates behind it and the record it leaves.

Questions about automated travel quotes
How does a partner’s email reach AutoQuote?
Through the browser extension for Gmail and Outlook. The request arrives in your inbox as usual; from the extension you send it to AutoQuote, which parses it, checks your rules, prices it from your approved contracts and prepares the branded quote. Contract emails and stop-sale notices go through the same extension, and a stop sale is never enforced until someone confirms it.
Does every request get answered automatically?
No. Each request is scored for confidence and checked against your rules, such as luxury tier and group size. Only requests that pass are auto-quoted; everything else lands with an agent, with the parsed request attached, so nobody retypes the email.
What does it price from?
Your contracted hotels, through live inventory with seasonal pricing and availability flags. Those are the rates your team loaded and approved through contract intelligence.
What does the trade partner receive?
A branded PDF quote with your logo, contact details and terms, emailed automatically to the partner with the CCs you configure.
Where is each quote recorded?
In the platform. Every auto-sent quote and every escalation is recorded in your proposals pipeline, on the customer record and in the audit log. A sync to your CRM, such as Pipedrive, is scoped on request.
Is AutoQuote included in every plan?
No. AutoQuote is an extension, scoped with you and billed separately from the platform licence. Pricing explains how plans and extensions are put together.
Bring the request your team answers every day
Send a real partner email and the contract it needs before the call. We run it through rules you set and show you the quote it would send, or the person it would go to.
